Practice software: what works with Mia today

Here's a made-up scene, but it'll feel familiar. It's 7pm. You've finally got a quiet hour, so you open Xero to tidy up some contacts, and there's a sticky note on your screen with a name and a number from a call you missed at lunch. You've got no idea what they wanted. Was it a new client? A BAS question? Someone chasing their refund?
That's the gap an AI receptionist is meant to close. But before you add one more tool to your practice, you want to know how it fits with the ones you've already got. Fair enough. Here's exactly what Mia, the RipperReceptionist AI receptionist, works with today, and what isn't there yet.
The short answer
Mia works with your existing phone number, a built-in calendar, your website and your own webhook today. Invoices and contacts export in Xero's import format, plus a quarterly BAS-period summary. Native Xero sync is coming soon, and so is CRM logging. Nothing on this page needs an IT person to set up.
Your phone number stays the same
You don't need a new number. You forward your existing number to Mia, and your clients keep dialling the one they already know. It works on all the major Australian carriers, because the forwarding code is standard across the network.
Your dashboard shows the exact forwarding codes for your carrier, with your number already filled in.
When she answers, the call opens with your practice's name and a recording disclosure, whatever the hour. If a call is urgent, Mia can transfer the caller to your mobile. You set the rules from the dashboard.
Your calendar: Mia books into one that's built in
On Pro, Mia books consultations straight into your RipperReceptionist calendar. She checks the slot against your hours and your existing bookings, and if the time's taken she offers another one. There's nothing to connect.
That's the calendar Mia books into today. If your practice lives in a different calendar and you need the two to talk, email hello@ripperreceptionist.com before you sign up and ask. We'd rather you know up front.
Mia also knows the season. BAS quarters, individual return deadlines and monthly IAS dates sit on her calendar and on your dashboard. She quotes the dates as logistics only. Advice stays with you.
Xero: export today, native sync coming soon
This is the one most accountants ask about first, so here it is plainly.
Today, you can download your invoices and contacts in Xero's import format any time, plus a quarterly BAS-period summary. You import that file into Xero the way you'd import any other.
Native Xero sync, where the two talk to each other on their own, is coming soon. It isn't live yet, and we won't pretend it is.
Your website: chat with one script tag
Mia doesn't only answer the phone. She can chat with visitors on your website too, and web chat is on every plan. You add one script tag to your site and she's live, so a client browsing your services page at midnight still gets an answer.
She learns your practice the same way for both. During setup you paste your website address, and Mia reads it for your services, hours, pricing and policies. You review what she found and fix anything that's off.
Everything else: your own webhook today
If your practice runs other tools, there's a simple way to get Mia's work into them. Every enquiry Mia captures can fire your own webhook, so the details can go wherever you send them.
Direct CRM logging is listed as coming soon. When it lands, Mia will log every lead to HubSpot or Zoho, with no manual data entry.
What you get after every call
Whatever software you run, this part doesn't change. Every call lands on your dashboard with a transcript and an AI summary, so you can read it before you ring back. You also get a summary by SMS within seconds.
The enquiry is captured while the caller is still talking: their name (spelled back when it's unclear), their number, what they need and how urgent it is. On Pro, callers with real buying interest are flagged on your dashboard with the reason.
What's not connected yet
We'd rather you hear this from us than find out in week one.

- CRM logging to HubSpot or Zoho. Coming soon.
- WhatsApp and social media messages. Both are marked "Soon" on the plans.
If something you rely on isn't on this page, ask us. Email hello@ripperreceptionist.com.
