1. Who we are
RipperReceptionist is operated by Continuous Improvement Advisory Australia Pty Ltd t/a Greystone Digital (ABN 24 676 917 314), a company registered in Australia. References to "we", "us", or "our" mean Continuous Improvement Advisory Australia Pty Ltd.

2. Information we collect
We collect information you provide directly:
- Business name, email address, mobile number, and website URL during registration and onboarding
- Payment information — processed by Stripe; we do not store card details
- Call recordings and transcripts generated by our AI receptionist (Mia)
- Feedback and corrections you submit about call handling
- Waitlist submissions including your email address
We also collect information automatically:
- Call metadata (caller number, duration, timestamp, outcome)
- Activity logs from our AI voice assistant
- Usage data from our web application (pages visited, features used)
- IP addresses for rate limiting and security purposes
3. How we use your information
- To operate and deliver the RipperReceptionist service, including answering calls on your behalf
- To train and improve our AI receptionist using anonymised call transcripts and your feedback
- To send transactional messages — missed call alerts, booking notifications, SMS summaries
- To process subscription payments via Stripe
- To send service announcements and product updates (you may opt out at any time)
- To comply with our legal obligations under Australian law
4. Sharing your information
We do not sell your personal information. We share information only with trusted third-party service providers who assist us in operating the platform, processing payments, delivering communications, and hosting your data. All providers are bound by contractual data processing agreements and operate under privacy frameworks consistent with Australian privacy law.
We may disclose information if required by Australian law, court order, or to protect the safety of our users.
5. Data storage and third-party services
Your business data, account data, and call records are stored in Supabase ap-southeast-2 (Sydney, Australia). We take reasonable steps under the Privacy Act 1988 (Cth) and the Australian Privacy Principles to ensure data is handled with equivalent protections.
We use the following third-party service providers to deliver the platform. Each is bound by a data processing agreement:
- Telnyx — voice call routing and SMS delivery
- Stripe — payment processing (we do not store card details)
- Resend — transactional email delivery
- Anthropic — AI conversation processing
- Upstash — caching and rate limiting
- Cloudflare — DNS, CDN, and security
Some third parties operate in regions outside Australia. By using RipperReceptionist you consent to your information being processed by these providers in accordance with their privacy policies and our contractual data processing agreements.
6. Call recordings and transcripts
When Mia answers a call on your behalf, the conversation may be recorded and transcribed. Callers are informed of this at the start of each call. Recordings are stored securely and accessible only to you and authorised Greystone Digital staff.
We use anonymised transcripts to improve our AI models. We do not use personally identifiable information from transcripts for any purpose other than delivering and improving your service.
7. Retention
We retain your account data for as long as your subscription is active and for 7 years after closure as required by Australian tax and record-keeping laws. Call logs and transcripts are retained for 12 months by default. You may request earlier deletion.
8. Your rights
Under the Privacy Act 1988 (Cth) you have the right to:
- Access the personal information we hold about you
- Correct inaccurate or out-of-date information
- Request deletion of your information (subject to legal retention obligations)
- Opt out of marketing communications
- Lodge a complaint with the Office of the Australian Information Commissioner (OAIC)

9. Cookies and tracking
We use cookies and local storage to maintain your authenticated session. We do not use third-party advertising cookies or cross-site tracking technologies. You can disable cookies in your browser settings, but this will prevent you from logging in.
10. Security
We implement industry-standard security measures including TLS encryption in transit, encrypted storage, row-level security on all database tables, and rate limiting on sensitive endpoints. No method of transmission over the internet is 100% secure. If you suspect a security incident, contact us immediately.
11. Governing law
This Privacy Policy is governed by the laws of New South Wales, Australia and the Privacy Act 1988 (Cth).
12. Changes to this policy
We may update this Privacy Policy from time to time. We will notify you of material changes by email or via an in-app notice at least 14 days before the change takes effect. Your continued use of the service after that date constitutes acceptance of the updated policy.
