Virtual Receptionist and Answering Service for Melbourne Accountants

Last updated: 15 October 2026

Picture Tuesday 3 November 2026. The people are invented but the date is real: it's Melbourne Cup Day, a public holiday right across Victoria. Your practice in Footscray is shut. You're in a mate's backyard in Williamstown holding a sweep ticket for a horse that's already lost.

Back at the office, the phone rings at 11.20.

It's a café owner from Seddon. Her quarterly BAS was due last Wednesday and she missed it. She's been doing the books herself, she's had enough, and today, with the café closed, she's finally got time to find an accountant. She's working through the practices near her on Google. Yours rings out. So she moves on to the practice listed below yours.

Nobody did anything wrong. You were entitled to the day off. But that's a new client gone, and you'll never know she rang.

A virtual receptionist for accountants in Melbourne answers the practice phone when nobody in the office can, public holidays included. Ours is called Mia. She speaks for your practice, gets the caller's details and what they need, books a consultation if they'd like one, and sends you an email. Tax questions get booked in, never answered on the spot.

Victoria takes days off that Sydney and Brisbane don't

Every state has its own calendar, but Victoria's is the odd one out. These are the dates where your office may be closed while clients in other states are at work (Business Victoria: Public holidays 2026 and 2027):

  • Friday before the AFL Grand Final. In 2026 it was Friday 25 September. For 2027 Business Victoria lists it as "Subject to AFL schedule", so the date isn't set yet.
  • Melbourne Cup Day. Tuesday 3 November 2026, then Tuesday 2 November 2027. It's a public holiday "across all of Victoria", unless a non-metro council has arranged a local holiday instead.
  • Labour Day in March. Monday 9 March 2026 and Monday 8 March 2027. Over the border, NSW holds Labour Day in October (NSW Government: Public holidays), so a Sydney client is at work on yours and you're at work on theirs.

Then Christmas. Boxing Day lands on a Saturday in 2026, so Victoria adds a public holiday on Monday 28 December, straight after Christmas Day on the Friday.

None of these days stop the phone. A client in Brisbane has no idea it's Cup Day in Melbourne. A new business owner in Ballarat might have the day off and decide that's the perfect time to sort out an accountant, just like the café owner did.

Six days that test a Melbourne practice

Look at how the 2026 dates stack up.

Wednesday 28 October is the due date for the July to September quarterly BAS (ATO: Due dates for lodging and paying your BAS). The ATO does say that if you lodge online "you may be eligible for an extra 2 weeks", and agents can sometimes get extra time too. A worried owner may well ring you before finding that out.

Saturday 31 October is the date the ATO gives anyone new to a tax agent, or changing agents: "you should contact them before 31 October to be part of their lodgment program" (ATO: Lodge your tax return with a registered tax agent). In 2026 it falls on a weekend. People still call.

Tuesday 3 November is Cup Day.

That's three dates in six days. The busiest phone week of your spring has a public holiday tacked onto the end of it. Whoever is still trying to get in touch has to reach somebody.

The Victorian numbers

You're far from the only practice in town. At 30 June 2025, 10,187 businesses in the ABS's accounting services class listed Victoria as their main state. Just over half of them (5,400) employed nobody, and another 3,679 employed between one and four people (ABS: Counts of Australian Businesses, Jun 2021 to Jun 2025, data cube 2). Put another way, about 89 in every 100 Victorian accounting firms are a principal on their own or a principal with a handful of staff. Firms like that rarely have someone whose only job is the phone.

The other side of the ledger is the businesses that need you. Victoria had 773,986 businesses actively trading at 30 June 2026, and 85,782 new ones were born during 2025-26 (ABS: Counts of Australian Businesses, Jul 2022 to Jun 2026). Every one of those new owners rings someone eventually. We'd rather it was you who answered.

Daylight saving, and why your interstate callers ring late

Victoria's clocks went forward on Sunday 4 October 2026 and go back on Sunday 4 April 2027 (Business Victoria: Daylight saving). Queensland and Western Australia don't take part (NSW Communities and Justice: Definitions of time). Until April, then, a Brisbane client's 4pm is your 5pm, and a Perth client's 4pm is your 7pm.

That's fine when Mia is answering. She takes the 7pm call like any other. When she books it, the time she gives the caller is turned into a real date in your practice's own time zone, so nobody in Perth ends up booked for a Melbourne time they misread.

A call, start to finish

Back to the café owner on Cup Day. Here's what happens when Mia has your line.

  1. She answers. Every call, however many come in at once, at any hour. Your practice's name comes first, with a recording disclosure, whether it's Cup Day or a wet Monday.
  2. She follows the jargon. "BAS", "lodgement", "PAYG": her speech recognition is tuned for the vocabulary accounting clients use, so she doesn't stumble over it.
  3. She builds the record while the caller talks. Name (spelled back when it's unclear, never guessed), number, what she needs, how urgent.
  4. She books, she doesn't advise. The café owner asks whether she can claim her new coffee machine. Mia doesn't answer that, because it's your billable work. She offers a consultation instead and books it into your RipperReceptionist calendar against your hours and existing bookings. If the slot's taken, she offers another.
  5. She protects the TFN. If the caller starts reading one out, Mia stops her before it lands in any note.
  6. You get told. The details land in your inbox straight away. A transcript and an AI summary sit on the call's page, ready for Wednesday morning.

Want the truly urgent ones even on Cup Day? A rule in the dashboard can send urgent callers through to your mobile. Everything else waits for Wednesday.

Once the job is lodged and billed, the follow-up is hers too. Mia chases the invoice by email and then SMS, so you don't have to.

Your 03 number stays yours

Melbourne numbers start with 03. Under the Telecommunications Numbering Plan 2025, that area code is "for use in Tasmania, most of Victoria and parts of southern New South Wales" (Federal Register of Legislation: Telecommunications Numbering Plan 2025, Schedule 1, Part 2). It's on your website, your invoices and your email signature. Keep it.

You point it at Mia with call forwarding. We support all the major Australian carriers, including Telstra, Optus, Vodafone, Aussie Broadband, Belong, TPG and others. The dashboard shows your carrier's code with your Mia number already filled in (Settings, then Forwarding). The help page lists the codes too, plus the one to undo it: ##002# cancels all forwarding, and it takes effect immediately.

The whole thing takes about five minutes. Mia reads your website during setup to learn your services, hours and policies, and you set her rules for hours, messages and what to capture.

You'll find current plans on our pricing page. Every plan has a 14-day refund, and you only pay for the minutes you use. To see what unanswered calls might be costing your practice, put your own figures into the missed call calculator. The full rundown of what she does for accountants is on our AI receptionist for accountants page.

Ring her yourself

The demo line is +61 2 4072 7246. Call it as if you were that café owner. Tell Mia your BAS is late and ask her about the coffee machine.

Melbourne accountants' questions

Does Mia answer on Melbourne Cup Day and Grand Final Friday?

Yes. She answers 24/7, public holidays included. Any consultation she books is checked against your hours and existing bookings, and the details of each call land in your inbox.

Can I keep my 03 number?

Yes, and nothing changes for the people ringing it. A carrier code points your 03 number at Mia, and dialling ##002# points it straight back, effective immediately.

What's the difference between a virtual receptionist and an answering service?

Not much in practice. Both answer your line in your practice's name when you can't. Mia is an AI virtual receptionist, so as well as taking details she books consultations and a transcript and summary of each call sit on your dashboard.

Will Mia answer my clients' tax questions?

No. She turns advice questions into a booked consultation with you. That's billable work, and it stays yours. And if anyone starts reciting a TFN, she halts them before it lands in any note.

Can Mia book consultations into my diary?

Yes. Mia books it and confirms on the spot. Bookings go into your RipperReceptionist calendar, checked against your hours and what's already booked, and if the caller's first choice has gone she suggests a different time.

Does Mia work with Xero?

Partly, for now. Invoices and contacts export in Xero's import format today; native Xero sync is on the roadmap.
